1. Data we collect
AZ collects, stores and uses personal data to be able to provide our recruitment, hiring, outsourcing and consulting services. We collect personal data about individuals who use our websites, apply with us for jobs or assignments, or obtain employment services from us through our recruitment services, employees and those who are representatives of our clients (including potential clients).
Most data is provided directly by you when you contact us, submit an application, attend an in-person recruitment event, through phone calls, contact us about our services, or during your outsourcing or employment relationship.
We also collect data about people employed by or engaged with our clients in connection with outsourcing and consulting services we provide to those clients. This is generally obtained through our interactions with clients, suppliers and service providers.
When you interact with an AZ website or application, we collect data related to your interactions with that service, for example by using cookies that are placed on your device.
Below we provide you with more examples on the types of personal data we collect, store and use and the reasons why we use your personal data.
2. Why we use your data
We will use your personal data when:
– you have given consent to the relevant processing activity for the purposes about which we have informed you. When this is the case, you always have the right to withdraw that consent;
– it is necessary to perform and comply with your employment contract or other applicable contract of engagement with us or to take action prior to entering into this contract or any other contract with you;
– we need to process your data to comply with a legal or regulatory obligation (for example, to comply with obligations under employment, social security, social protection and tax legislation, to comply with our obligations under equal opportunities legislation or in connection with legal rights in the event of illness or pregnancy);
– exceptionally when it is necessary for vital interests of you or another person (for example, to prevent risk of serious harm to you or others); or
– it is necessary for our legitimate interests (or those of third parties) provided that our legitimate interests are not overridden by your interests or rights that require protection of your data.
We use special categories of personal data (e.g. medical data) when:
– you have explicitly given your consent to do so. When this is the case, you always have the right to withdraw that consent;
– we need to do so to comply with our legal obligations (e.g. in the context of employment, social security and social protection legislation, or for collective agreement) e.g. to comply with our obligations under equal opportunities legislation or in connection with legal rights in the event of illness or pregnancy;
– it is necessary for the establishment, exercise or defence of a right in court;
– it is necessary for preventive or occupational healthcare, to assess your work capacity, medical diagnosis, or the provision of healthcare (e.g., in connection with referrals and occupational health reports);
– when it is necessary because of a significant public interest, such as for equal opportunity monitoring;
– exceptionally when it is necessary for vital interests related to you or another person (e.g. to prevent risk of serious harm to you or others) and when you are unable to give consent; or
– when you have already publicly disclosed the relevant personal data.
We will only use your personal data for the purposes for which we collected it, unless we reasonably believe we need to use it for another reason and that reason is compatible with the original purpose. If we need to use your personal data for a separate purpose, we will notify you about this and explain the legal basis on which we are allowed to do so.
Legitimate interests
As mentioned above, we may sometimes use your personal data when this is necessary for our legitimate interests (or those of third parties).
This includes use of your personal data when it’s necessary to:
– ensure effective management and administration of your employment or assignment, provisions, management of the business and continuity of the business;
– ensure that our assets are protected, kept confidential and not used for improper or illegal purposes;
– prevent, uncover or investigate unauthorized use of our systems and ensure that we comply with the law and our policies;
– ensure that we can contact you or your family in case of an emergency;
– verify that you are legally entitled to work, and to manage performance and disciplinary and promotional processes;

– deal with conflicts and accidents and seek legal or other professional advice;
– comply with the laws and regulations of another country;
– prevent fraud and financial crime; and
– ensure network and data security.

Failure to provide information when required
When we ask you for information in order to hire or contract you, or to find a position or suitable job for you, and you do not give us the information we consider necessary, we will not be able to properly assist you with your request for AZ Recruitment & Arbeidsbemiddeling to find work, a position, labour or a suitable job for you.
3. Storing your data
We will store your personal data for as long as necessary in connection with our agreement with you, to provide you with the requested services, or for other necessary purposes such as compliance with a law, regulation or other legal authority, or if the data must be retained for other lawful purposes such as auditing, security, fraud prevention or enforcing and protecting the rights of AZ.
In addition, applicants and individuals whose jobs have ended remain part of AZ’s talent pool so they could be contacted about other employment opportunities. European talent pools do not retain your application data for more than three years. Data of individuals located outside of Europe will be retained in accordance with local legal requirements, but in no case for more than ten years. Where applicable and if and when you ask us to, AZ will remove your information from the talent pool in response to a verified request.
4. Where your data could be shared
AZ Recruitment & Employment holds employees, employers, allocation companies, agents and suppliers responsible for maintaining the trust you place in us with your personal data.
For individuals, AZ shares data that is necessary to perform human resources and outsourcing services with other AZ Recruitment & Arbeidsbemiddeling entities, clients, suppliers, or with service providers who may be engaged to help manage the processes necessary to provide these services.
The engagement of a customer, supplier or service provider is subject to appropriate contractual requirements that prohibit the use of your data for any purpose other than that specifically specified by AZ, and that ensure that sufficient administrative and technical security mechanisms are in place to prevent unauthorized use, disclosure or access to your data.
5. Your rights and options
We respect your right to access and control your data. The amount of personal data you must provide when you request our services corresponds to AZ’s interest in providing our services to you. AZ complies with applicable data protection laws and regulations.
You have the right to ask us to change or delete your data (the right to be ‘forgotten’).
6. Cookies
We note the number of visitors to the relevant sections of our website and track movement between sections using ‘cookies’.
Cookies are small data files containing information, that are placed on your computer and automatically downloaded to your device to recognize you as someone who has visited our website before. We use cookies that identify your browser or device. When you visit our website, they collect and store information about how you use it.

7. Protecting your data
AZ Recruitment & Arbeidsbemiddeling will ensure that your personal data is secured.
We regularly review industry standards for securing data, and review our physical, technical and organizational security practices to determine how best to prevent the loss, misuse, alteration, unauthorized access, destruction or publication of your personal data.
Any personal data sent to us, by letter or email, may be unprotected in transit and we cannot guarantee its delivery.
Passwords should be kept confidential and should not be disclosed to third parties. AZ does not ask for your password.
We report data breaches to the Personal Data Authority.
8. Updates to this privacy statement
AZ may update this privacy statement from time to time, so please review it regularly.
If we make material changes to our Privacy Statement, we may also notify you in other ways before the changes become effective, such as by prominently posting a notice of these changes on our websites, announcing the change through our online portals, or by contacting you directly.
